Terms and Conditions

For Fixed-Rate Stays Over 17 Weeks Long

The terms and conditions below form your contract with Melbury Rooms & Studios ("we/us/our"). By booking with us, you are agreeing to these terms. References to "you", our guest, also include any person you may invite onto our premises as and when permitted ("visitor(s)"). Bookings may only be made by persons aged 18 or over. Persons aged under 18 are not permitted on our premises. Published: 26th August 2025.
  1. RESERVATION: A booking may only be made and confirmed by contacting us directly. For reservations made under these terms, we only accept arrivals in January or September. Offers, prices, and room details are correct at the time of quotation, inclusive of VAT at the prevailing rate, and may be changed or withdrawn before the booking is confirmed.
  2. LICENCE AGREEMENT: Your stay is under a licence to occupy and does not create a tenancy or confer exclusive possession of the accommodation. This is serviced accommodation, where services such as regular cleaning, linen provision, and maintenance are routinely provided. You are a guest, not a tenant, and this agreement does not confer the legal rights or protections associated with a tenancy under housing legislation.
  3. CONFIRMATION: Your booking is only confirmed once we send you written confirmation via email. Until then, no contract exists between you and us. Please check your confirmation carefully and notify us immediately of any errors.
  4. DEPOSIT: A deposit equivalent to 4 weeks' tariff for the chosen room is required to secure your booking. The amount paid will be deducted from the total balance. A further payment is due within seven days of arrival.
  5. PAYMENT: The balance may be paid either in full or in instalments, as agreed with us. Failure to make payment, including any missed instalment, may result in cancellation without refund.
  6. CANCELLATION: You may cancel with a refund of any monies paid, minus an administration fee of £75, provided we receive your cancellation by 3pm (UK time) on 31st July for September arrivals, or by 3pm (UK time) on 30th November for January arrivals. After this time, no refund is due. Cancellations must be submitted by email to [email protected] with your full name and dates of stay. No refund is due for non-arrival, unused nights, or shortened stays.
  7. ARRIVAL: Check-in is from 3pm onwards on your arrival day unless specifically agreed otherwise with us. Early luggage drop-off may be possible by prior arrangement.
  8. DEPARTURE: You must vacate your room by 10am on your departure date, unless agreed otherwise. Rooms must be returned in a reasonable condition, free from damage or ingrained dirt requiring excessive deep cleaning. Lost property will be held for a limited period only and may be disposed of if not claimed promptly.
  9. CLEANING: Your room will be cleaned once per calendar month. You must prepare the room by clearing floors and surfaces beforehand. Our housekeepers will not move personal items or wash up dishes. If a room is deemed excessively cluttered or dirty such that it poses a hygiene or safety concern, we may refuse to clean it and require you to restore it to a suitable condition within a reasonable time. If you do not do so, you may be charged for cleaning costs incurred.
  10. ACCESS TO ROOM: You must allow our management, housekeeping, or maintenance personnel access to your accommodation when required. We will provide notice wherever possible, but reserve the right to enter without notice in the event of an emergency.
  11. LINEN: We will provide you with a new weekly set of bed linen and towels for the duration of your stay. They are on loan and remain the property of our linen supplier. You must hand back a complete set of linen and towels to us each week. If you do not do this, you will not receive a fresh set the week after.
  12. FACILITIES: Communal kitchen, laundry, and outdoor areas are available to you throughout your stay. These are equipped for self-catering. While we provide weekly cleaning, day-to-day tidiness remains your shared responsibility. We may alter or withdraw facilities without notice due to maintenance or other reasonable causes beyond our control, and accept no liability for such changes.
  13. CLEANING SUPPLIES: We provide a suitable range of cleaning products and equipment in the shared kitchen, which guests may also borrow for use in their rooms. These include surface sprays, cloths, a vacuum cleaner, and similar basic items. Guests must use these supplies responsibly and return any borrowed equipment promptly after use. Please note that we do not supply or permit the use of bleach or bleach-based products anywhere on the premises.
  14. VISITORS: The maximum occupancy of your room must not be exceeded at any time. Except in single-occupancy rooms, one overnight guest is permitted for up to two nights in any seven-night period. No other visitors, including in communal areas, are permitted without prior agreement. The premises are not suitable for parties, group meetings, or similar gatherings.
  15. DAMAGE AND REPORTING: You are expected to report any damage, breakage, or malfunction to us immediately, whether in your own room or in communal areas. Prompt and honest reporting allows us to take a more sympathetic and constructive approach, especially in the case of genuine accidents. If we discover the issue later during a routine inspection, we may take a stricter view and charge accordingly.
  16. HOUSE RULES: We reserve the right to terminate your stay and require you to vacate the property if: (a) you fail to comply with any signposted house rules or reasonable instructions from staff; (b) your behaviour adversely affects staff, contractors, or other guests; or (c) you engage in unlawful activity. No refund will be issued in these cases.
  17. SMOKING AND VAPING: Smoking or vaping is prohibited throughout the property except in the designated outdoor area. A charge of £250 will apply for smoking indoors.
  18. FIRE EQUIPMENT: Tampering with any fire detection or extinguishing equipment, except in the event of an actual emergency, will result in a charge to cover inspection, repair, or replacement costs.
  19. PROHIBITED ITEMS: The following are not permitted: portable heaters, cooking appliances (other than those provided), electric blankets, candles, fireworks, BBQs, sky lanterns, or similar items whose main purpose is to emit heat or produce a flame. We may remove and hold any non-CE-marked electrical items, which will be returned on departure.
  20. COMMERCIAL ACTIVITY: No commercial activity may take place from our premises. Photography, filming, or drone use for commercial purposes is only allowed with written consent.
  21. BEHAVIOUR: Abusive, discriminatory, or otherwise inappropriate behaviour towards staff, contractors, or other guests will not be tolerated and may result in termination of your stay.
  22. ANIMALS: Pets are not permitted, with the exception of recognised assistance animals. Please notify us prior to arrival if you are bringing one.
  23. LIABILITY: We are not liable for any injury, death, loss, or damage unless caused by our negligence. Any compensation for disruption to your stay will be limited to the price paid for your accommodation, and only where a verified breach of contract has occurred.
  24. FEEDBACK: If you have feedback during your stay, please speak to us directly at the time so we can address it. If you feel your concern was not handled adequately, written feedback must be submitted within 14 days of departure. We cannot investigate issues raised after this period.
  25. TRANSFERABILITY: You may not transfer, resell, or advertise your reservation or accommodation without our express permission. Reservations obtained via unauthorised means will not be honoured.
  26. TERMINATION OF LICENCE: We reserve the right to cancel future bookings or terminate current stays of anyone who has previously breached these terms and conditions. If your stay is terminated due to breach of contract, you must leave immediately, and all future stays will also be cancelled. Any pre-paid amounts will be retained as a cancellation charge and not as payment for services.
  27. GOVERNING LAW: This agreement shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with this agreement shall be subject to the exclusive jurisdiction of the courts of England and Wales.
